As an Executive Assistant in our Minneapolis, MN market, you will assist top-level executive(s) by providing secretarial and administrative support, frequently involving confidential matters.
Responsibilities
Effectively manage executive team calendars of internal and external meetings and virtual appointments
Create and distribute market communications related to daily office operations and initiatives that span multiple departments and teams
Organize, schedule, and execute team activities that build camaraderie and strengthen culture
Manage details and tracking of sales incentives before, during and after initiatives
Lead and execute all office operations including:
Covid-related protocol and office reopening initiatives
Partner with service vendors to identify and reduce unnecessary spend
Cultivate facility vendor relationships
General daily office administration to ensure smooth operations
Administrator and point of contact for the following operational functions:
Talent Contracts, and the communication between market leaders and corporate legal team
Public File, and all PSAs and FCC-required postings
Vinyl, and all talent endorsement related materials
Trade Tool, along with the tracking and distribution of all client tickets
Human Resources, along with onboarding and offboarding coordinating and daily inquiries
Local Advisory board, and all communications, meetings, and follow up
Proactively identify, evaluate, and improve operational processes across the sales, programming and promotions departments that increase speed-to-market, reduce spend, and deliver exceptional listener experiences
Qualifications
Advance command of Microsoft Office suite, social media platforms and search tools
Trustworthy when dealing with confidential and private matters
Professionalism: confident in interactions with team members throughout all levels of the organization, including corporate office
Proven ability to set standard of performance excellence for self, assumes responsibility and accountability for assignments or tasks, goes beyond what is expected
Stress tolerance: composure when faced with difficult and demanding situations, personalities, and shifts in priorities; positive, steady nature while completing tasks with a sense of urgency
Excellent oral and written communication skills, excellent grasp of grammar; actively listens; clearly and effectively conveys information; professional telephone skills
High degree of collaboration with all levels in the organization
Can work independently, anticipating needs and proactively managing workload and priorities for maximum efficiency
Time management: uses appropriate tools to manage time; focuses on urgent and important tasks; shows strong attention to detail; meets deadlines
Ability to multi task in a fast-paced environment
Work Experience
1-3 years’ experience as Executive Assistant
Media experience preferred
Education – 4-year college degree preferred
Certifications – None required
